# Managing Customers

View and manage your customer database. Track purchase history and maintain customer relationships.

## Customers Dashboard

1. Click **Customers** in the left sidebar
2. View all customers with key information
3. Use search and filters to find specific customers

## Searching Customers

Open the **Advanced Filters** panel to search on any combination of:

- First Name
- Last Name
- Email
- Phone
- IP Address
- Customer ID
- Address (street, city, state, ZIP)

Fill in the fields you want, then click the search button. **Clear Filters** resets them.

## Filtering Customers

### By Date

The list is filtered by when customers were created. Use the date-range picker at the top, which offers presets (Today, Yesterday, Last 7 Days, This Month, Last Month, Last 30 Days, Year to Date, All Time) as well as a custom range.

Inside the Advanced Filters panel, a **Date Range / All Time** toggle controls whether the date range applies at all — choose **All Time** to search purely by the filters you entered.

### Sorting

Sort by:
- Customer #
- Email
- Phone
- Created

### Pagination

Choose items per page: 10, 50, 100, 250, or 500.

## Customer Profile

Click a customer to view their full profile.

### Customer Statistics

| Metric | Description |
|--------|-------------|
| **Amount spent** | Total purchase amount |
| **Total Orders** | Order count |
| **Avg. order value** | Average order total |
| **Last order date** | Date of most recent purchase |

All four figures count only orders with a successful payment. A period selector on the card switches between **All time** (the default), **Last 30 days**, and **Last 12 months**.

## Contact Information

Edit customer contact details:

1. Open customer profile
2. Click the edit (pencil) button on the **Contact Information** block
3. Update the email or phone
4. Save

Only email and phone are editable here — the customer's name comes from their orders and account profile.

## Customer Addresses

Customers can have multiple addresses for billing and shipping.

### Viewing Addresses

The customer profile shows the default shipping and billing addresses. Open the **Actions** menu and choose **Manage Addresses** to see every saved address, each carrying a **Default Billing** or **Default Shipping** badge where it applies.

### Adding an Address

1. Open **Actions > Manage Addresses**, then click **Add New Address**
2. Enter the address details — address line 1, city, state and ZIP are required
3. Tick the default billing and/or default shipping boxes (optional)
4. Save

If your team has an active tax provider, the address form can validate the address against it and offer a normalized version you can apply.

### Editing Addresses

1. Find the address
2. Click **Edit Address**
3. Update information
4. Save

### Setting Default Address

1. Find the address
2. Click **Set as Default Billing** or **Set as Default Shipping**

Billing and shipping defaults are tracked separately, so one address can be both or each can be different.

### Deleting Addresses

1. Find the address
2. Click **Delete**
3. Confirm deletion

If you delete the default billing or shipping address and the customer has others on file, one of the remaining addresses is promoted to default automatically. Deleted addresses are retained behind the scenes so past orders keep the address they shipped to.

## Preferred FFL

For customers who purchase firearms, you can set their preferred FFL dealer.

1. Open customer profile
2. Find the **Default FFL information** card
3. Click the edit (pencil) button to open **Edit FFL Information**
4. Search by business name or license number, or by ZIP code
5. Select the dealer and confirm

## Customer Files

Upload and manage customer documents for verification.

### Uploading Files

1. Click the **+** button on the **Customer Files** card to open **Upload Customer File**
2. Choose the file (PNG, JPG or GIF, up to 10 MB)
3. Select the **File Type**:
   - CCW Permit
   - License
   - State ID
   - Passport
   - Other
4. Click **Upload**

### Viewing Files

The Customer Files card lists each file by its type. Click one to view it — files are stored on a private disk and served through a short-lived temporary link.

### Deleting Files

1. Click the file to open it
2. Click **Delete**
3. Confirm deletion

## Customer Notes

Add notes for internal reference.

1. Click the edit (pencil) button on the **Customer Notes** card
2. Enter your note
3. Save

Notes are visible only to your team. Each customer has one note.

## Order History

View all orders for this customer:

- Order #
- Total
- Status
- Created at

Order #, Total, Status and Created at are all sortable. Click an order number or its **View** button to open the full order.

## Blacklisting Customers

Block problematic customers from placing orders.

### To Blacklist

1. Open customer profile
2. Open the **Actions** menu and choose **Blacklist Customer**
3. Enter reason
4. Confirm

### To Remove from Blacklist

1. Open customer profile
2. Open the **Actions** menu and choose **Whitelist Customer**
3. Confirm

## Creating Customers

Add customers manually:

1. Navigate to **Customers**
2. Click **Create Customer**
3. Enter information:
   - First name (required)
   - Last name (required)
   - Email (required)
   - Phone (optional)
   - Address — line 1, city, state and ZIP are required; line 2 is optional
   - Notes (optional)
   - FFL (optional)
4. Click **Create Customer**

The email must be unique within your store; creating a second customer with an existing email is rejected. The address you enter is saved as the default billing *and* shipping address.

## Deleting Customers

1. Open customer profile
2. Open the **Actions** menu and choose **Delete Customer**
3. Confirm deletion

> **Note:** Deleting a customer also removes their orders.

## Exporting Customers

Export customer data to an Excel workbook:

1. Apply filters (optional)
2. Click **Export**
3. Confirm the number of records shown, then click **Export Customers**

The export is queued and processed in the background. When it finishes you receive an email with a download link, valid for 24 hours. The workbook has one sheet each for customer details, addresses, and payment methods.
